Forty emails by 7 a.m.
All of them "urgent."
Tenant emergencies, vendor scheduling, owner questions, and a deposit statement due in nine days, all in one inbox. The sorting and the drafting happen before you open it. You approve everything before it sends. Proven daily in the Honolulu property-management practice Dean's wife runs.
Built for owner-operators and small portfolios, up to about 75 doors. Bigger office? The free review will tell you honestly whether this fits.
The daily grind this replaces
The 7 a.m. scroll
Which of the forty is the water leak, which is the owner asking about a statement, and which is a vendor confirming Thursday? You read all forty to find out.
The dropped thread
The tenant who reported a dripping faucet two weeks ago just emailed again, angrier. Nothing fell through maliciously. It fell through because no system was tracking open issues.
The same reply, again
You've typed "we've received your request and contacted a vendor" a thousand times. Every one of those minutes was billable somewhere else.
PM Inbox System: $1,450 flat
A one-time install in your existing Gmail or Google Workspace, tuned to your properties, your vendors, and your communication style.
Morning triage
Every new message categorized: urgent, reply needed, vendor action, owner decision, file only. Safety issues (leaks, mold, locks, legal notices) flag immediately by rule, not by AI guess.
Maintenance intake
Tenant requests become tracked records: property, issue, urgency, vendor, status, follow-up date, in a queue you can actually see.
Drafted replies in your voice
Tenant acknowledgments, vendor requests, owner updates, written and waiting. You review, adjust, send.
One daily summary
Each morning: what's urgent, what's open, what's overdue, who's waiting on you. Escalation rules route anything touching safety, habitability, or fair housing straight to you. The AI never handles those alone.
Includes: discovery session, full setup, training, written quality checklists, and a 30-day tune-up. Optional Tune-Up plan: $249/month.

The PM Inbox System runs every day inside Dean's wife Eunjeung's Honolulu property-management practice: the same triage rules, the same escalation categories, the same owner-update drafts. It was built by watching her work and fixing the biggest leaks first. When something breaks, Dean hears about it at dinner.
What stays human: no autonomous sending, no tenant screening, no legal notices, no fair-housing-sensitive decisions. The AI organizes and drafts; the licensed professional decides.
Add-on: Contractor Coordination: $500
For small Oʻahu portfolios where $3-per-door maintenance platforms are overkill. Each request becomes an AI-drafted vendor message with photos and access details, a quote-comparison table, scheduling follow-ups, and tenant updates. All drafts, all sent by you, tracked in one queue.
Add-on: Owner-Statement Summaries
Monthly statements translated into plain English: income, expenses, variances, decisions needed, with every number traced back to the statement. Ask during your review.
Hawaii gives you fourteen days.
Then the deposit isn't yours to argue about.
Under HRS §521-44, the deposit must go back to the tenant with an itemized written statement within 14 days of move-out. Miss the deadline and you can forfeit the entire deposit, and owe up to three times the amount wrongfully withheld. Deposit disputes are the most contentious moment in property management. $850 is cheap insurance.

Move-Out Documentation System: $850 flat
The market is full of $1-per-unit inspection apps that PMs buy and never set up. The app was never the hard part. The protocol, the deadline, and the letter are. That's what gets installed:
- The right tool, set up properly. Inspection app selection and setup (typically RentCheck or zInspector) on your own account.
- A walkthrough protocol. Standardized move-in and move-out shot lists per room, so the evidence exists before you need it.
- An AI comparison workflow. Move-in vs. move-out evidence becomes a drafted damage assessment with normal-wear-vs-damage flags, for your review.
- The 14-day deadline tracker. Every move-out gets a tracked countdown.
- Drafted itemized deduction letters. Statute-formatted, evidence-linked, human-reviewed before anything sends.
What stays with you
MakaWorks documents, tracks the deadline, and drafts. The deduction decision and any legal judgment stay with you and your owner. This is a documentation system, not legal advice.
Pairs well with the PM Inbox System. Both can be installed in the same week.
